Reservations and Checking In/Out
How do I change the dates of my reservation?

Where do I check in?
Check-in and check-out will take place at the Conferences@UVA offices located at Gibbons House (425 Tree House Drive, Charlottesville, VA 22904), during our extended check-in hours..
How early can I check in?
Guests may check-in as early as 2 p.m. throughout Graduation Weekend. Please see "When are Conferences@UVA office hours for Finals Weekend?," below. We are unable to accommodate any check-ins earlier than 2 p.m. due to limited staffing.
How late can I check out?
Guests may check-out no later than our office’s closing hours. Please see "When are Conferences@UVA office hours for Finals Weekend?," below.
When are Conferences@UVA office hours for Finals Weekend?
- Thursday, May 15: 2 p.m.-9 p.m.
- Friday, May 16: 2 p.m.-11 p.m.
- Saturday, May 17, 8 a.m.-10 p.m.
- Sunday, May 18: 8 a.m.-8 p.m.
- Guests checking out on Monday, May 19 must check out by 11 a.m.
What should I do if I need to check in or out before or after your office opens/closes?
Check-in and check-out is not offered outside of the hours listed above.
If you cannot make it to our office for check-in during these hours, you may have your student check you in and pick up your keys on your behalf. They must present their student ID and a credit card to claim your key cards.
If you need to check out before or after our office hours, you will need to have your student return your room key by the check-out date listed on your reservation. If keys are not returned by that date, you will be charged a $25 lost key fee.
Accommodations
Where will I be staying?
You will be staying in the first-year hallway-style dorms of the Alderman Road Residence Area. This housing area is approximately a 20-minute walk to Central Grounds and the Lawn.
Can dorm room beds be delofted?
All of our dorm rooms have lofted XL twin beds, the lofted beds are not ideal for everyone. Please consider this if you have guests for whom this may not be the ideal arrangement. The lofted beds are not ideal for everyone, so please consider this as you reserve these accommodations for your guests, as furniture cannot be moved.

What kind of bathrooms are offered in the residential areas?
Each floor will have one shared male bathroom, and one shared female bathroom. These bathrooms include several sinks, showers, and toilet stalls. Guests must provide their own toiletries, such as shampoo, soap, towels, and other products.
What should I do if I have lost my key?
If you have lost your key, you will need to visit our office so we can remake the key. You will be charged a $25 lost key fee. If our offices are closed, you will need to call Facilities Management at 434.924.3053 so they can unlock your room for you. Please be prepared to show proof of your identity.
What should I do if my key isn't working?

Where can I park?
Free parking for dorm guests will be available near Scott Stadium, about a 10-minute walk from the Alderman Road dorms.
Limited ADA parking is available near the residence halls on a first-come, first-served basis. Also see the University's accessibility map for the Alderman Road area.
What do I do if I have a family member who requires a medical accommodation?
While all of our residence halls are accessible, dorm room housing is not necessarily ideal for everyone, and some may find the lofted bed to be a challenge. Please consider this as you reserve these accommodations for your guests.
Should any member of your party require a special disability-related or medical accommodation during your stay, we recommend that you contact our office before you make your reservation to learn more about the housing accommodations. Please call us at 434.924.4479 or email conferences@virginia.edu prior to booking your reservation to discuss your specific needs and what options are available.
Also, while booking your reservation, please be sure to fill out the "special requests" box with as many details as possible. Information to share includes, but is not limited to, wheelchair access, bathroom accessibility, or other special requests.
ADA parking spaces are available, but limited, near the dorms. Most accessible guest parking is not immediately adjacent to the accessible entrances of the buildings. It takes approximately 15 minutes to walk from the Alderman Road Residence Area to the Lawn, where graduation ceremonies take place. You will not be able to drive your car to the ceremony site. Parking and Transportation will run accessible shuttles to the Lawn for guests who cannot make the walk, but a walk is also required to get from the residence halls to the shuttle bus stop.

Amenities
What is included in the linen package?
If you have chosen the accommodations option including a linen package, you will receive a set of compostable sheets (fitted, top, pillowcase), a blanket, and a pillow for each bed. Guests must provide their own bath towels. Toiletries, hangers, and other amenities are also NOT included.
You will be able to pick up your linen package(s) at the mailroom at Shannon House after you check in. Shannon is immediately beside Gibbons House, where you will check in for Finals Weekend.
What should I do if I no longer want linens?
If you would like to add or remove linens to your reservation, please fill out our Finals Weekend Change and Cancellation Form. Please note our Graduation refund/cancellation policies, which can be found on the form.
Do you provide an ironing board or hair dryer?
No. Please remember that these are basic student-style accommodations, not a hotel. Guests will need to supply their own hair dryer and iron/ironing board as needed.
Do you provide towels or toiletries?
No. Please remember that these are basic student-style accommodations, not a hotel. Guests will need to supply their own towels, shampoo, toothpaste, soap, and other toiletries.
Is WiFi available?
Yes, free WiFi is available to all guests. Guests should select the UVAGuestWiFi Network. No password is required. More information can be found on the IT Services website.
Can I use gym facilities during Graduation Weekend?
The University’s recreational facilities are closed over Graduation Weekend as portions of said facilities are typically used for Commencement Ceremonies. If you arrive on an earlier date, you may purchase a guest pass with a student sponsor. More information about guest passes can be found on the Recreational Facilities website.
Attending Finals Weekend Ceremonies
How long is the walk to the Lawn?
The walk to the Lawn is approximately 15 minutes from the Alderman Road Residence Area.
Are there transportation options for guests with mobility issues?
