Staying On Grounds FAQ

Other Questions about On-Grounds Stays

Where should I park?

Parking is in high demand at the University of Virginia. In order to park at UVA, you will need a parking permit for the specific lot designated for your housing area. Note that sometimes there are restrictions on lots during business hours.

Parking may be included with your conference or event, or you may be given the opportunity to purchase a Parking & Transportation (P&T) parking permit when you arrive. Please consult with your program’s administrator if you require a parking permit.

P&T's Permit Parking Map shows all on-Grounds parking areas.

What if I’m locked out of my room?

Conferences@UVA and University staff are available 24 hours a day to handle lockouts. If you are locked out of your room, please call one of the following numbers so that our staff may assist you. Be prepared to show proper ID in order to verify that you are the guest staying in the room in question.
  • Business Hours (Monday-Friday, 8 a.m.-5 p.m.): 434.924.4479
  • After-Hours (all other times): Please call Facilities Management Systems Control at 434.924.3053

What if I lose my access card/key or it stops working?

If you lose your access card and/or key, please contact us immediately at 434.924.4479. Conferences@UVA will create a new access card or key if necessary. If a new access card or key is made, a replacement fee will be charged to the credit card that you provided as a key deposit, or will be charged to your program.

Who do I contact if maintenance/repairs are needed in my accommodations?

Report any maintenance requests to Conferences@UVA as soon as possible at 434.924.4479. You will not be charged for any needed maintenance.

Are the residence halls accessible (ADA compliant)?

While all of our residence halls are accessible, accessible guest parking is NOT immediately adjacent to the accessible entrances of the buildings. In addition, your event's location may require some walking from your accommodations. For example, guests staying with us for Finals Weekend can expect about a 15-minute walk from the Alderman Road Residence Area to the Lawn, where graduation ceremonies take place.

Please see the University's accessibility map for the Alderman Road area and the map of all University parking areas for additional information.

Can I receive mail while I’m staying in on-Grounds housing?

Yes. Please have your letters and packages addressed to:

c/o [your conference name]

Are laundry facilities available to conference guests?

Do conference guests have access to fitness facilities?

Passes to fitness facilities may be offered in your program's package. Please consult the information for your program, or check with your program's administrator.
